Privacy Policy — Cool Flame App

Applies to: the Cool Flame mobile application for iOS and Android (all versions currently distributed on the App Store and Google Play).

Summary. The Cool Flame App does not require an account, does not use analytics or advertising, and does not send your data to our servers — we do not operate a backend for the App. The App communicates directly with your fireplace over Bluetooth and your local Wi‑Fi network. Settings are stored only on your device. Deleting the App deletes that data.

1. Who we are (Data Controller)

The Cool Flame App (the “App”) is developed and published by:

In this policy we refer to the company as “Planika”, “we”, “us” or “our”. To the limited extent that any personal data is processed in connection with the App (for example, when you contact our support team), Planika acts as the data controller within the meaning of Article 4(7) of the General Data Protection Regulation (Regulation (EU) 2016/679, “GDPR”).

2. Scope of this policy

This policy describes how the App handles information. It applies only to the App and to the direct communication between the App, your device and your Cool Flame fireplace (PD and PD PRO models).

It does not apply to:

  • our websites and online stores, which are covered by a separate privacy policy;
  • the App Store (Apple Inc.) and Google Play (Google LLC), which process data under their own privacy policies when you download, install or update the App;
  • third‑party services you may reach from the App, such as external links to our website.

3. Data we collect

None. The App:

  • has no user accounts and no registration or login;
  • contains no analytics, tracking or advertising SDKs;
  • uses no cookies or similar identifiers;
  • does not transmit any information about you, your device or your fireplace to Planika or to any third party;
  • does not create user profiles and does not carry out automated decision‑making or profiling within the meaning of Article 22 GDPR.

In Apple’s App Privacy terms, all categories are declared as “Data Not Collected”. In Google Play Data Safety terms, the App declares no data collected and no data shared.

4. Device permissions and why they are needed

The App requests only the permissions required for it to find and control your fireplace. Permissions are requested at the moment the relevant function is used, and you can withdraw them at any time in your device settings (see section 9).

5. Information stored on your device

To let you use the App without repeating setup, the following information is saved in the App’s private storage on your phone:

  • the name and identifier of paired fireplaces;
  • your preferences and settings for those devices (for example flame settings or a custom device name);
  • technical data needed to reconnect on your local network.

This information stays on your device. It is not synchronised to us and is not backed up to any Planika service. It may be included in the standard device backup you have enabled with Apple or Google, which is governed by their policies and controlled by you.

Wi‑Fi credentials

During setup you may enter the name (SSID) and password of your home Wi‑Fi network so that the fireplace can join it. These credentials are passed from the App to the fireplace over the direct Bluetooth connection and stored in the fireplace so that it can reconnect. They are never sent to Planika and never leave your home network.

6. When you contact us

If you contact us by e‑mail (for example for technical support or to exercise your rights), we will process the data you provide — typically your e‑mail address, name and the content of your message — for the purpose of answering you.

7. Recipients of data and sharing

We do not sell, rent or share personal data, because the App does not collect it.

For support correspondence only, data may be accessible to our IT and e‑mail service providers acting as processors under written agreements meeting Article 28 GDPR, and to advisers or authorities where we are legally required to disclose it. We do not transfer personal data outside the European Economic Area; our systems are operated within the EEA. Should such a transfer ever become necessary, it will take place on the basis of an adequacy decision or Standard Contractual Clauses.

8. Data collected by the app stores

Apple and Google may collect information relating to the download, installation, use or crashing of the App under their own terms — for example aggregated App Store or Google Play statistics and, where you have enabled it in your device settings, crash and diagnostic reports. Any such information is provided to us in aggregated or de‑identified form and we cannot identify you from it. This processing is carried out by Apple and Google as independent controllers under their respective privacy policies.

9. Your choices and control

  • Withdraw permissions: iOS — Settings → Cool Flame; Android — Settings → Apps → Cool Flame → Permissions. Some functions will stop working without Bluetooth or local network access.
  • Delete local data: uninstall the App, or on Android use Settings → Apps → Cool Flame → Storage → Clear data. This removes all App data from your device.
  • Reset the fireplace: to remove Wi‑Fi credentials stored in the device itself, perform a factory reset of the fireplace as described in its user manual — this is recommended before selling or giving the fireplace away.
  • Account deletion: the App has no accounts, so there is no account to delete. If you have ever contacted our support team and want that correspondence erased, write to [email protected].

10. Your rights under the GDPR

Where we process your personal data, you have the right to: access your data and obtain a copy of it; request rectification of inaccurate data; request erasure (“right to be forgotten”); request restriction of processing; data portability; and object to processing carried out on the basis of our legitimate interest. Where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of processing carried out before withdrawal.

You also have the right to lodge a complaint with a supervisory authority. In Poland this is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych), ul. Stawki 2, 00‑193 Warsaw, Poland. If you reside in another EEA country, you may also complain to your local supervisory authority.

11. Children

The App is intended for adults responsible for operating a Cool Flame fireplace and is not directed to children. We do not knowingly collect data from anyone, including children under 16 (or the lower age set by national law in your country, but not below 13). The App contains no content rated for children and no features designed to appeal to them. For safety reasons, the fireplace and the App should be operated only by adults.

12. Security

Communication between the App and the fireplace takes place over a direct Bluetooth Low Energy link or your own local Wi‑Fi network and is not routed through the internet or through Planika. App data is kept in the operating system’s protected application storage, isolated from other apps. Because no data is transmitted to us, there is no central database of users that could be breached. We nevertheless apply appropriate technical and organisational measures to protect the limited data we do handle, such as support correspondence.

13. Changes to this policy

We may update this policy — for example if the App gains new functionality. The “Last updated” date at the top will change accordingly, and material changes will be communicated in the App or in the release notes of the relevant App Store or Google Play update. The current version is always available at this address.

14. Additional information for residents of California and other U.S. states

We do not collect, sell or share personal information through the App, and we do not process sensitive personal information. Consequently we do not disclose personal information for cross‑context behavioural advertising and there is nothing to opt out of. Requests concerning support correspondence may be sent to the contact address below and will be handled without discrimination.
